Position Overview:
Ultimate Staffing is actively seeking a dedicated Executive Assistant to support the Executive Director and senior staff members of a respected non-profit organization in California. This pivotal role is essential in ensuring the seamless operation of the organization, enabling effective communication, coordinating activities, and managing schedules.
Key Responsibilities:
- Administrative Support: Manage the Executive Director's calendar, including scheduling meetings, appointments, and travel arrangements.
- Communication: Serve as a primary point of contact for internal and external stakeholders, handling correspondence and providing timely responses.
- Meeting Coordination: Organize and prepare materials for board meetings, staff meetings, and special events, ensuring all logistical details are managed.
- Documentation: Maintain accurate records, manage files, and prepare reports and presentations as needed.
- Project Assistance: Support various projects and initiatives by conducting research, compiling data, and assisting with grant proposals and fundraising efforts.
- Office Management: Oversee office supplies and equipment, ensuring a well-organized and efficient workspace.
Qualifications:
- Proven experience as an executive assistant or in a similar administrative role, preferably in a non-profit environment.
- Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and familiarity with project management tools.
- A high degree of professionalism and confidentiality.

Additional Details:
The salary range for this position is $70,000 to $85,000 per year.
