MINIMUM QUALIFICATIONS
- Computer experience, particularly with cloud-based applications (NextCloud, shared links)
- Excellent communication skills
- Excellent writing/proofreading skills
- Office administrative experience, to include scheduling and schedule management, maintaining calendars, and email
- Minimum two years of law enforcement or investigative services
- Ability to organize and prioritize multiple tasks/cases
- Ability to develop professional relationships with individuals, both within the Agency as well as external agencies
- Ability to maintain strict confidentiality about all information pertaining to all Justice Center and Office of Children and Family Services (OCFS) cases
- Ability to use objective investigative judgment
- Ability to work with a diverse population presenting a variety of cultural, socioeconomic, developmental, and sexual identities. Must have the ability and willingness to establish and foster healthy and supportive relationships that acknowledge individual identities and encourage personal growth.
PREFERRED QUALIFICATIONS
- One or more years of office experience
- Electronic Health Records experience
- WebEx experience
- Experience working with adolescents
- Having an understanding of at-risk populations
REQUIREMENTS
Must successfully complete all required background checks:
- Criminal History Record Checks (CHRC)
- NYS Statewide Central Register of Child Abuse and Maltreatment (SCR)
- NYS Sex Offender Registry (SOR)
- NYS Division of Criminal Justice Services (DCJS) fingerprinting
- NYS Justice Center Staff Exclusion List (SEL)
- Out-of-state child abuse register inquiry of any state in which the person resided within the last five years (if applicable)
HOURS
- Monday through Friday, 8:00 AM – 5:00 PM
- Must be flexible to meet the needs of the program
SALARY
$26.45/hour
PHYSICAL REQUIREMENTS
Must be able to complete Therapeutic Crisis Intervention Training
OBJECTIVES OF POSITION
- Be the point of contact for all internal and external communications between the Agency, the Justice Center, and OCFS
- Work collaboratively with multiple internal and external parties to ensure accurate and timely collection, assembly, and filing of all pertinent documentation and information for each investigation
- Oversee and be responsible for all case records and case record management for each investigation from initiation to closing
DUTIES AND RESPONSIBILITIES
- Creating an incident packet, including gathering documentation and reviewing and requesting video footage
- Creating case summary forms in the Portal database in response to notification of case initiations by the Justice Center or OCFS
- Receiving and entering initial investigation letters into the portal database
- Routing case summary information to all Department Heads, Human Resources, Support Services, and Medical Clinic, as required by each case
- Collecting and filing any documentation as requested by the investigator, including personnel files, SIRs, medical records, work schedules, video, staff and youth Safety Plans, recent Comprehensive Assessment or Treatment Review Plans, Resident Digest, Staff to Staff Logs, Daily Resident Logs, Vehicle Logs, Administrator on Duty Logs, Resident IBMPs, and OCFS 394 forms, storing each in correct database location
- Creating NextCloud links, forwarding information to investigators, updating and supplying additional information as requested or needed
- Scheduling of investigator interviews with victims, subjects, and witnesses, as requested by investigators
- Training new staff and meeting with subjects of investigations to explain the investigation process to help increase their awareness
- Closing out cases, including receiving Determination Letters and Corrective Action Plans, inputting information into Summary Form, closing out open NextCloud links, discontinuing Safety Plans in the database, and routing Determination Letters to Human Resources
- Collecting and reviewing documentation for any Corrective Action plans resulting from investigations, forwarding documentation to the appropriate OCFS contact person
- Develop monthly reports tracking the timeliness of Agency response to requests for documentation and scheduling interviews
- Maintaining open, effective communication with all involved parties throughout the investigation
- Attending Justice Center training and seminars
- Responsible for adhering to and performing all duties following all rules, regulations, policy, and safety standards of The William George Agency and the New York State Office of Children and Family Services while upholding our mission, vision, and values.
