Three Rivers Settlement Services, Inc. (affiliated with the law firm of Cafardi Ferguson + Wyrick), an attorney-owned and operated settlement company and First American Title Insurance agency, is proud to celebrate its 30-year anniversary. We are looking to hire a full-time closing coordinator who will be primarily responsible for scheduling, coordinating and overseeing real estate closings.
Position Overview:
The Closing Coordinator will independently handle all aspects of scheduling and coordinating real estate transactions, including being the primary point of contact for buyers, sellers, real estate agents, lenders, and other parties. The Closing Coordinator will be the primary person responsible for ensuring appropriate attention to pre- and post-closing matters. As the Closing Coordinator, you will work as an integral part of our team, which consists of closing attorneys, title processors and our escrow manager, working under the supervision of our Vice President and President.
Key Responsibilities:
· Have excellent communication skills, and excellent time and task management abilities.
· Work closely with real estate agents and lenders to ensure a seamless closing process.
· Answer telephone calls, and direct them to the appropriate person.
· Set up, organize and manage electronic and paper files for real estate closings.
· Receive, review and input title information upon receipt of purchase agreements or refinance orders.
· Work closely with title processors to ensure that all lien letters and tax certifications are timely ordered and received.
· Keep track of deadlines, title search deliveries, contingency periods, and other key dates related to scheduling.
· Keep track of the progress of transactions.
· Order title searches related documents through First American Title Insurance.
· Distributed copies of title searches/commitments to the applicable parties.
· Prepare closing document packages for the closing attorney, including receiving and downloading the closing package, ensuring all documents have been printed, reviewing funding requirements, and coordinating with lenders.
· Schedule closings, including checking the availability of interested parties.
· Ensure that all closing documents have been completed correctly (after review from the closing attorney) and verify that funding requirements have been satisfied with lenders.
· Monitor for incoming wires and keep track of outgoing wires.
· Send out the completed closing package post-closing, and disburse funds post-closing.
· Record and e-record deeds, mortgages and other documents after closing, and keep track of recording information.
· Prepare final title insurance policies post-closing, remit policy premiums to First American, and deliver copies of the policies and deed post-closing.
· Attend to post-closing matters as they arise, including referring escrow matters to the company’s escrow manager or Vice President for handling.
· (As-needed, occasionally) Perform closings or notarize closing documents, including in connection with cash transactions, purchases with loans and refinances.
Qualifications:
· High school diploma or equivalent; collegiate or advanced degree preferred.
· Minimum of three (3) years of experience in the real estate industry, preferably as a closing coordinator, title coordinator, title processor, loan processor, administrative assistant, transaction coordinator, real estate paralegal, or similar role.
· Proficient in Microsoft Office, Outlook, and other MS software products.
· Extremely strong understanding of real estate transactions, closing procedures, and relevant processes.
· Independent ability to keep track of real estate closings with minimal supervision.
· Excellent organizational skills with a keen eye for detail.
· Exceptional communication and interpersonal skills and ability to work closely on a team.
Strongly Preferred:
· Prior experience working with a First American Title Insurance agency and its delivery networks, including AgentNet.
· Prior experience using TSS (Title Express) software system.
· Prior experience as a closing coordinator, title processor or loan processor.
· Prior experience as a paralegal (preferably real estate-related) or working for a law firm.
· Prior experience performing real estate closings.
Additional Requirements:
· Must have or immediately apply for and obtain Pennsylvania notary license upon hiring.
· Must be willing and able to work full-time, five days a week at the company’s main office location at 2605 Nicholson Road, Suite 2201, Sewickley, PA 15143 (conveniently located close to the Wexford exit of I-279). This is a remote or hybrid role.
